OneDrive integrations and automation

Describe what should happen in OneDrive, and when, in plain words. Whenever builds the workflow and runs it on a schedule, on a webhook, or when another app sends an event.

OneDrive on Whenever

About OneDrive

OneDrive is Microsoft’s cloud storage solution enabling users to store, sync, and share files across devices, offering offline access, real-time collaboration, and enterprise-grade security

How Whenever connects

Through its API, using the credentials and permissions required by the provider.

Build it from your AI client

Connect Claude, Cursor or Codex to the Whenever MCP server and your coding agent can build and deploy the OneDrive workflow. It runs on Whenever afterwards, on its schedule or webhook, with the chat closed.

Plan your OneDrive workflow

OneDrive is usually the place where files land rather than where work is tracked: scanned receipts, signed contracts, exported reports, photos from site visits. The automations people want are about what happens next. A new file in a folder should be renamed, copied to an archive, shared with a client, or have its details logged somewhere a team can search. Microsoft exposes all of this through Microsoft Graph, where every file and folder is a drive item with an ID, a parent, a name, size, timestamps and the account that last changed it.

There are two ways to notice changes. The delta query returns everything that changed in a folder or drive since a token you saved on the previous call, which suits a scheduled run: store the token, ask for changes, process them, store the new token. Graph also offers change notifications through subscriptions, but a OneDrive notification only says that something changed, not what, so the receiver still calls delta to find the actual files, and subscriptions expire and must be renewed. Either way, keep the item ID rather than the path, because a renamed or moved file keeps its ID.

Two gotchas catch people out. Personal OneDrive and OneDrive for Business are reached through the same API but with different accounts, and a business tenant's administrator may restrict which apps can be consented to, or block sharing links to people outside the organisation. And uploads above a modest size must go through an upload session that sends the file in pieces rather than in a single request. When sharing, Graph creates view or edit links with a scope such as anonymous or organisation; which scopes are permitted is decided by the tenant's policy, not by the workflow.

Whenever connects to OneDrive with your Microsoft account permission and calls Graph on your behalf. A scheduled delta check starts a run each time even when nothing changed, so pick an interval that matches how fast the files actually matter.

OneDrive workflow examples

Log new receipts to a spreadsheet

A scheduled delta check on one folder records each new receipt once, keyed by its drive item ID.

Share a finished contract with the client

When a signed file appears, create an organisation-appropriate link and send it, without granting edit access.

Copy last month's exports into a dated archive folder and report what was moved.

OneDrive FAQs

How does a workflow know which OneDrive files are new?

Microsoft Graph's delta query returns items changed since a saved token. Storing the token after each run means the next run sees only additions, edits and deletions since then.

Do OneDrive change notifications include the file that changed?

No. A Graph subscription on a drive signals that something changed; the receiver then calls delta to get the changed items. Subscriptions also have an expiry and need renewing.

Does this work with OneDrive for Business as well as personal OneDrive?

Both use Microsoft Graph. A work or school account may need administrator consent for the app, and the tenant's policies decide which sharing options are allowed.

How are large files uploaded?

Graph supports a simple upload for small files and an upload session for larger ones, which sends the file in byte ranges and can resume after a failed piece.

Can the workflow create links for people outside my organisation?

Graph can create view or edit links with different scopes, but anonymous or external links only work if the account or tenant allows them. Otherwise use an organisation-only link or share with specific people.
