If you are comparing Zapier alternatives, start with the job and the bill rather than a ranking. Task rates have exceptions, and Zapier offers code and AI-assisted authoring. The options below describe different ways to build and supervise the same work. Whenever is first because it is ours; suggested fit is our opinion, not migration-market research.

Questions to ask before switching

Which actions consume tasks?

Build a dollar budget for your actual workload using the current subscription and any applicable extra usage. Triggers and some built-ins are exempt from tasks; AI, code and connector rates can vary. Include runtime AI and external provider charges, then compare the same workload, currency and billing period.

Which form is easier to supervise?

Zapier supports paths, code and Copilot-assisted building. Try the awkward case in each tool instead of assuming a missing prebuilt action means the job is impossible.

What does the export contain?

Zapier documents an account-data export whose Zapfile.json holds your Zap workflows’ step inputs and outputs. Inventory the business rules, credentials and destination behavior before moving.

Whenever: describe it, and a run counts once

Illustrative, not a customer result: Greg asks to match Stripe payments to Shopify orders and flag missing or mismatched amounts. He reviews the rules and sample results, not necessarily code. AI writes the procedure; fixed non-AI logic is deterministic with identical inputs and dependencies. An optional AI step can vary and has runtime costs.

What is the best Zapier alternative?

Our recommendation depends on the job: compare a visual canvas, code-based procedure or model-directed agent using the same test cases. Check product availability too: Pipedream Workflows has announced shutdown. Whenever fits when you want to describe the rules and supervise the outcomes through summaries and sample results.

Is there a free Zapier alternative?

Self-hosted editions run without a hosted plan but still require infrastructure, operating work and any applicable licence or provider charges. Paid self-hosted n8n can still meter executions. Whenever AI building has weekly limits; Hobby includes one live workflow and 100 runs per month at $0.

Can I move my Zaps without rebuilding them by hand?

Describe the existing job and use its outputs as test cases. Whenever rewrites the procedure rather than promising a direct Zap import; review and test it before switching off the old trigger. Do not infer that no migration tools exist elsewhere.
